The Federal University of Sergipe (UFS) is a major educational institution that, like any other, produces a variety of documents in the course of its activities, including photographic records. The UFS Central Archives are an administrative unit whose objectives are to manage, safeguard, preserve, and provide access to the diverse documents in its collection, originated from the various departments within the institution. However, due to insufficient investment, the UFS Central Archives are unable to manage its entire collection satisfactorily, which can lead to loss and/or damage to documents, in addition to hindering access to it. Thus, this research revolves around the question: how can we preserve and provide access to the physical photographic collection of the UFS Central Archives? Therefore, the overall objective is to create a research tool that facilitates access to the institutional photographic collection of the UFS Central Archives, more specifically, the São Cristóvão Art Festival (FASC) fund, an outreach event that fosters interregional cultural exchange and fosters closer ties between the university and society. This monographic, descriptive study has an applied purpose and uses bibliographic and documentary procedures. Participant observation was used for data collection, and analysis was conducted using a qualitative and quantitative approach. The results indicate that the FASC fund collection increased by 244.82% in printed photographs, 21 slides, and 59 sheets of photographic positives. The study concludes that photographic documents are an attractive source of information, providing precise details of the most diverse actions and transformations that occur in society and in an institution. Also that the physical photographic collection of the UFS Central Archive is an important source of information and memory, which must be preserved and made available, because, in addition to being part of the institutional and social legacy, it contributes to the development of diverse research in the most varied areas of knowledge.
