O tratamento documental arquivístico na Universidade Federal de Minas Gerais: estudo de caso da Faculdade de Filosofia e Ciências Humanas

This research has as its theme the documental archival treatment at the Faculdade de Filosofia e Ciências Humanas (FAFICH) at the Universidade Federal de Minas Gerais (UFMG), more specifically, in its archival services. The definition and implementation of an institutional archival policy is essential for the effectiveness of records management actions in an institution of higher education. The archival documents of the Universidade Federal de Minas Gerais (UFMG) are considered assets of the institution and are stored in spaces intended for archive services and in work sectors. The present research has as its study base the Faculty of Philosophy and Human Sciences (FAFICH) incorporated to UFMG in 1949. We approached the documental treatment in this academic unit and sought to evaluate the quality of these archival works and the impact that the unit's archive services have on the preservation and access to documents in the work sectors. To this end, two research problems were outlined: is the treatment given to the archival documents in the academic unit efficient to the point of preserving and providing access? What is the relevance of the archival services for the preservation of FAFICH/UFMG's archival documents? To answer these questions, we discussed archival concepts and theories such as: records management, document evaluation, classification, academic collections, university archives and institutional memory. In addition, it was identified the milestones in the treatment of documents at UFMG throughout its history - such as the diagnoses of the documentary situation of the institution carried out in 1999 and 2015 - and the influence of this work on the preservation of the institution's documents. It was adopted, as methodological strategy, the case study, being the data collection carried out through direct observation, documentary research, interviews and questionnaires applied to people who are involved in records management issues at FAFICH and at UFMG. Added to this is the research on documents accumulated in the work sectors, in the document deposits and in the archive service of the academic unit researched. It was decided to limit the analyzes to paper documents, despite the growing use of digital document creation and processing systems. As results found, it was identified: a quantitative of 774.91 linear meters of documents accumulated in the FAFICH deposits, which occupy 42% of the space destined to the storage of the unit's collection; the growth of the accumulated collection in the work sectors between the years 2015 and 2022; the need for a greater role of the unit's Archive Sector in the records management; the need for replanning the occupation of the document deposits; being inevitable the evaluation of the accumulated documents; the urgency in the formulation of an institutional archival policy.
